Workflow Step: Assign

Assign a workflow run to an identity, like a person, a role, a location, or one you created, so it appears in their view.

What Assign does

Assign gives the run to an identity, so steps that wait for a person, like Approval, To do, and Photo, appear on the Dashboard for whoever fits that identity. No one sees the Assign step itself.

Work is always assigned to an identity, never directly to a person. Every person is already an identity, and so is every role. For anything else, like "Baristas at East Side" or "John and Mary," create an identity in People under Identities.

Set it up

In Give it to, choose:

  • An identity: Choose one or more identities. Then, in Who does it, choose:
    • Anyone in it: whoever gets there first: Everyone who fits can see it, and the first person to act on it does it.
    • One of them: the first or One of them: at random: Skidle chooses one person who fits right now and assigns it to that person. People who are hidden from assignments (in People under Members) are never chosen.
  • No one — leave it open: Removes the run from whoever had it.

After it runs

The step saves data.<step id>.assignTo, the identities it was assigned to.

If one person was supposed to be chosen but no one fits right now, because the identity is empty or everyone in it is hidden, the run is left unassigned instead of going to the wrong person, and the step is marked as failed. To do something else in that case, add a When way out with the condition data.<step id>.ok = false, above Otherwise.
