Workflows

A workflow is a set of steps that runs on its own when something happens, like when a form is submitted or another system sends a request.

Everything that can start a workflow or be sent to a webhook, which features each one needs, and the events integrations add.

Ready-made forms and workflows for everyday routines. Answer a few questions, try it yourself, then turn it on.

A workflow starts when someone submits a form, when another system sends a web request to the workflow's address, on a schedule, when a shift starts or ends, when someone checks in or out, when someone asks for or takes a shift, or when chat messages are left unread.

How a workflow step uses values from the run, like form answers, web requests, and earlier steps, and how to combine them into text and JSON with {{ }}.

How Approval, To do, Photo, Chat, and Write a reply steps reach people, and where people answer them, on the Dashboard and on the task.

What workflow errors mean, like templates Skidle can't read, missing secrets, blocked addresses, and too many requests, and how to fix them.

Keep API keys and tokens out of your workflows. Save them once in Account under Secrets, then use them as {{ secrets.NAME }}.

End a workflow run and record why, like finished, spam, or canceled.

Assign a workflow run to an identity, like a person, a role, a location, or one you created, so it appears in their view.

Count what got done, what was missed, and what's still open on the board, overall and for each person, for a summary or to branch on.

Have AI look at the photos from a Photo step and answer yes, no, or unsure to each short check you write, then branch on the result.

Check what arrived, like a form or a web request, against a list of rules before anything acts on it, and keep every rule that failed.

Create a task from a template, filled in with values from the run, now or later.

Save something from a workflow run so a later run can look it up, like the last reading or a customer's last order.

Have AI read part of a run and choose one of your options, then branch on its answer.

Find what an earlier workflow run saved with Keep a record.

Ask for photos as proof of work, taken with a phone or added from a computer, with no app to install.

Send a workflow run one way or another based on conditions, like "the total is over $100."

Keep a copy of every submitted form in your own Dropbox.

Keep a copy of every submitted form in your own Google Drive.

Send a notification in the app to everyone in one or more identities, from a workflow.

Call another system's API from a workflow, like creating a contact in a CRM or posting to a chat app, with values from the run and secrets kept safe.

Send a plain-text email from a workflow to an address, or to people and roles, with the form or a summary attached as a PDF if you want.

Save a flag, a note, or a count on a workflow run for a later step to use.

Have AI read what a workflow collected, like a board report, form answers, or daily recaps, and write a short summary for an email, a PDF, or a decision.

Pause a workflow run for a length of time, or until a date and time, then continue.
