What Board report does
Board report looks at the board and counts what got done in a time period, what was missed, what's overdue or urgent and still open, which workflow steps are waiting on someone, and how each person is doing. The counts are exact, not done by AI, so the numbers are always right and a workflow can branch on them.
It usually feeds into Summarize with AI, which puts it into words. It can also go straight into an email, a PDF, or a web request.
Set it up
- Period: The time period to report on:
- Since last run: Since the schedule's previous run. If it runs every 4 hours, it reports on the last 4 hours. A Monday morning run on a weekday schedule reports on everything since Friday's run. If the workflow started some other way, it looks back one day.
- Today: Since midnight, in your account's time zone.
- This week: Since midnight on Monday.
- The last 24 hours or The last 7 days.
- Only for: Optional. Choose people or roles to report on only their work. Leave it empty to include everyone.
What it saves
Each list shows up to 50 tasks, with the title, stage, priority, due date, and who it's for. The counts always include everything.
- Done (
done,done_count): Finished in the time period, and by whom. - Missed (
missed,missed_count): Due in the time period and not done by then. A task that was finished late counts as both missed and done. - Overdue (
overdue,overdue_count): Past due and still open. - Urgent or high, open (
urgent_open,urgent_open_count). - How many open (
open_count) and How many added (created_count). - Waiting on someone (
waiting,waiting_count): Workflow steps that are waiting for a person, since when, and for whom. - By person (
by_person): For each person, how many tasks are open, done, and overdue, plusall_done, which is true when nothing of theirs is still open. - The whole report (
report): Everything, for Summarize with AI.
A task for Everyone appears as "Everyone" in the lists and isn't counted against each person. A task set to appear later isn't counted as open until it appears.
Branch on it
Because the counts are exact, a When way out can act on them. For example, data.<step id>.urgent_open_count > 0 → Send a notification to Managers, right away, before the summary goes out.
