Workflow Steps That Wait for a Person

How Approval, To do, Photo, Chat, and Write a reply steps reach people, and where people answer them, on the Dashboard and on the task.

Steps that wait

Some steps pause a run until a person does something:

  • Approval: A question with buttons, like Approve and Reject.
  • To do: Something to mark as done.
  • Chat: Shows an incoming message and waits for someone to handle it.
  • Write a reply: Shows a message and waits for a written reply.
  • Photo: Asks for one or more photos. See Photo.

The run stays on the step until someone clicks one of its buttons. Then it follows that button's way out.

Where people answer them

Every step that's waiting for you appears on your Dashboard alongside your tasks, with Answer where a task shows its stage. That includes:

  • Steps an Assign step gave to an identity you fit.
  • Steps that weren't assigned to anyone, started from a task that's for you. Whoever answers first moves the run along.

The same step also appears on the task that started the run, under Waiting on this task. Answering it in either place does the same thing. Use the filter at the top of the Dashboard to show more or fewer of them, like any other task.

A step assigned to someone else is shown, but only that person or an admin can answer it.

Approval

The first button means yes. Any other button requires a reason, entered in the Reason field, unless Ask for a reason when rejecting is turned off for the step. The reason is saved on the run as data.<step id>.note, so a later step can use it, like in an email explaining why the request was rejected.

To follow up on an approval no one has answered, add an After a length of time way out. See Wait.

Write a reply

The reply is saved on the run as data.<step id>.text. The step itself doesn't send anything. To send the reply, add a Send an email step after it and use that value as the body.

Steps you don't answer here

The task steps. Their buttons are the task's own buttons.
