What Send an email does
Send an email sends a short plain-text email from a workflow run, then moves on right away. It's meant for alerts and notices, like "The walk-in fridge is at 7°" or "A new order came in," not newsletters.
The email comes from Skidle's no-reply address, so no one sees replies to it. If you want people to reply, include the right email address in the body.
Set it up
- To: One email address. Type it, or click Insert value to use one from the run, like the email field on the form that started it.
- To people: People and roles, like the owner or Managers. Each person gets their own copy at the email address they sign in with, so no one sees who else got it. Skidle works out who's included when the step runs. You can use this, To, or both.
- Subject: Optional. If you leave it empty, the subject is "(no subject)."
- Body: The message, as plain text. To add values from the run, click Insert value.
- Attach the form as a PDF: Attaches the filled-in form that started the workflow as a PDF, with every answer, checklists as checked boxes, inventory as a table, and its photos. Only available for workflows that start from a form.
- Attach as a PDF: Attaches anything from the run as a PDF, titled with the subject. Choose The whole summary from a Summarize with AI step to get it organized under headings: needs attention, summary, highlights, and by person.
After it's sent
The step saves data.<step id>.to (the first address it was sent to), data.<step id>.sent (how many emails were sent), and data.<step id>.messageId (the email provider's ID for the message). Add an Otherwise way out to continue, or leave it without one to end the run there.
The step is marked as failed, and the run moves on, if there's no address and no one in the people you chose, if there's no subject and no body, if the email service refuses the address, or if it's set to attach the form but the workflow didn't start from one. To do something in that case, add a When way out with data.<step id>.ok = false.
