Build the Schedule

Plan who works when, one week at a time, as drafts no one sees until you publish. Copy last week, add open shifts, and choose how requests get answered.

The schedule is where you plan who works when. You build each week as a draft that only admins can see, and no one is notified until you publish it.

You don't have to use it. If your shifts are already in Square, you can keep managing them there. The schedule in Skidle then updates automatically and is read-only. See Integrations.

Turn on the schedule

Click Schedule, click Settings, then turn on the schedule. If you turn it off later, it's hidden, but nothing is deleted.

Build a week

Click Add a shift, then enter the day, the start and end times, and who's working. A shift can end the next day, include breaks, and have notes the person sees with it, like "Count the drawer before you leave."

To let anyone pick up a shift, choose Open shift instead of a person.

Click Copy last week into this one to add last week's shifts as drafts. For a team whose weeks look alike, that's most of the work done. Shifts already in the week stay where they are.

The roster shows a row for each person and a column for each day. Use the filters to narrow it to a person, a location, or a role. A shift doesn't need a location, for someone like a driver or an owner who moves between places. Choose No location in the filter to see only those shifts. Publishing, copying, and printing follow the locations you choose.

Click Needs attention to see what wants a look this week: pending time off and requests, shifts that need cover, open shifts, and shifts with warnings, like more hours than someone asked for.

Publish the schedule

When the week is ready, click Publish. Everyone whose shifts are new or changed gets a notification, and the shifts appear on their schedule in the app. Until you publish, shifts are drafts and don't appear on anyone's schedule, including your own. If you run more than one location, you can publish one location at a time.

To put the week on the wall, click Print. It opens a PDF of the week's published shifts, one page per location.

Choose how the schedule works

Click Schedule, click Settings, then go to Schedule settings:

  • People can see: Only their own shifts, shifts at the locations where they work, or everyone's shifts.
  • Cover, swaps, and open shifts: Approved as soon as someone takes them, or wait for an admin to approve them.
  • Time-off requests: Approved automatically, or an admin approves them.
  • Stop taking requests before a shift: Stops people from giving away shifts at the last minute.
  • Late after and No-show after: Decide when a missing check-in counts as late, and then as missed.

Each location can have its own time zone and opening hours. Turn on Time Zones and Hours for Locations to set them. Hours shade the schedule and flag shifts outside them, but they never stop you from scheduling. Turning the switch off puts every location back on the account's time zone and clears the hours.

Let a workflow decide

Instead of answering every request yourself, you can have a workflow answer some of them. For example: "If taking this shift would put them over 40 hours, deny it and say why. Otherwise, approve it." To set this up, click Automation and create a workflow that starts on a shift request.

Share outside Skidle

In Sharing, you can create a calendar feed of everyone's shifts, or a read-only webpage of the week, for people who don't use Skidle. Each one is a secret address you can copy at any time. Anyone who has the address can see the schedule, so share it the way you'd hand someone a printed schedule. Reset invalidates the old address and creates a new one, and Turn off invalidates it.
